For used-engine importers and distributors in Central and Southern Africa, a useful buying plan starts with two lists: the engines your customers actually need and the costs needed to reach your receiving warehouse. A low engine price is difficult to assess when the accessory package, unit condition or final delivery point is unclear. This guide explains how to prepare a comparable wholesale request from China, verify the offered units and organise a mixed shipment.

1. Define the final destination, not just the region

Central Africa: if your business serves Cameroon, Gabon or the Democratic Republic of the Congo, identify the final receiving city and the intended gateway. ECA identifies corridors including Douala–Bangui and Brazzaville–Kinshasa. The practical purchasing point is to distinguish arrival at a port from delivery to your warehouse; do not treat one sea-freight quotation as covering every inland destination.

Southern Africa: for buyers in South Africa, Namibia or Botswana, and regional distribution into Zambia or Zimbabwe, specify the country and warehouse destination. SADC identifies the North–South, Maputo and Dar es Salaam corridors. Ask your freight partner which route fits your shipment and what border, handling and onward-transport charges are included. 2. Build the engine mix from your own replacement demand

3. Make an engine list that can be quoted

For each line, provide the full engine identifier, vehicle/model year, quantity, transmission requirement, drive layout and required accessories. Add destination country, receiving city and proposed port if known. Keep manufacturer codes unchanged even when the list is written in French, English or Portuguese. Where markings are unclear, attach photos and flag the uncertainty instead of guessing.

4. Match photos and inspection information to each unit

Give each proposed unit an identifier that also appears on its photos and quotation line. Request readable markings, overall views, connectors, mounting points and the agreed accessories. If inspection or running video is available, ask which checks were performed, what the result means and whether the evidence belongs to that same unit. Exterior photos show visible condition; they do not prove internal condition or a completed running test. Agree what happens if an offered unit changes before order confirmation.

5. Compare the cost to your warehouse

Compare offers on the same written basis: engine and accessory scope, packing, origin loading, freight, destination handling, inland movement and applicable clearance charges. State the named delivery point and agreed trade term, and mark each cost as included, excluded or awaiting confirmation. Have your local broker confirm the destination’s current admission requirements for used engines, documentation and applicable charges before ordering. A quotation to a port should not be read as a delivered-to-warehouse price.

6. Agree mixed-batch packing and receiving checks

Agree how engines will be protected, supported and identified, and how loose accessories will be labelled against the engine list. Ask for available packing/loading photos for the agreed batch. Before dispatch, reconcile the unit identifiers, engine codes, quantities and package numbers with the packing list. At receipt, check package condition and record discrepancies with photos before distributing the units to branches or customers.
